Promoting your Events

Broadcast E-mails

  • The Alumni Office has the capability to send broadcast e-mails to alumni in your region. Some alumni have not yet given the University their e-mail addresses and a small number of others have requested that they not be contacted by e-mail. However, this is a fast and effective way of reaching alumni with news of events.
  • E-mail frequency depends on the size of alumni club and its level of activity. The Alumni Office will generally send two e-mails per month to clubs in communities with alumni population over 4,000 and one per month to smaller clubs.
  • Your staff liaison needs at least five business days advance notice to send a broadcast e-mail.
  • If the event is posted on the Alumni Association’s on-line events calendar, a link to that event can be included in the broadcast e-mail.

Direct Mail Invitations

  • Volunteers must provide text to their Alumni Office staff liaison at least eight weeks prior to the event.
  • Invitation formats include half page self-mailers or quarter page self-mailers.
  • All invitations are designed and mailed by the Alumni Office.

“In the Clubs” Column in the University of Chicago Magazine

  • The Magazine is published bi-monthly (February, April, June, August, October, and December).
  • Each issue highlights club events for a specific two-month period in a special column.

Online calendar

  • All your club events can be posted on the Alumni Web site’s online events calendar. The calendar is searchable by region.
  • The Alumni Office needs five days advance notice to post an event online.
